Every exhibitor should make certain that all shipments are covered by a full comprehensive policy from the time of dispatch from works to Shanghai and return (including exhibition period), preferably through a company of which the people’s Insurance Company of China is the agent in Shanghai.It will be useful in case the exhibitor intends to claim for damages or loss in China.Exhibitors are free to use their own writers.Otherwise, our company is able to arrange insurance coverage of exhibits from the points of origin till destination and vice-versa for re-export.Please let us know if required.

It is recommended that whenever possible, all exhibits must be packed in cases and/crates, which will be reused for return shipments. In order to protect goods against multiple handling during transit, it is recommended that contents be securely checked, blocked and braced, please ensure the following issues:

  • All exhibits packed in cases must be well covered and water proofed due your exhibits will store at open area before or after the exhibition.
  •  
  • All crates/cases should be bolted rather than screwed or nailed.
  •  
  • Stapled or “stitched-nailed” crates or cartons should not be used except for disposable goods.
  •  
  • If crates/cases cannot be slung, they should be mounted on skids to facilitate the handing with forklift trucks.
  •  
  • Exhibitor, at their discretion, may plan to exhibit equipment on “skid”, as the floor may not always be completely level. These “skid” must however be suitably covered to preserves the overall presentation of the exhibition.
  •  
  • To minimize risk of loss, damage or delay, avoid shipping your exhibit in small packages.

Please apply a minimum of two shipping labels per package and use only the metric system when stating dimensions and weight.

Special Markings

In addition to the above, markings should be shown on the sides of the crates/cases where applicable.

  • Label “FRAGILE” items on all sides.
  • Items which must be kept in upright position, with all sides labeled “THIS SIDE UP”.
  • Items which cannot be stored outdoors must be marked on 2 sides with the umbrella symbol.
  • Stripes should be painted on vessel, tanks and similar equipment to indicate the points for hoisting. Also label “SLING” in the proper locations.
    • CUSTOMS CLEARANCE

Prior to its release, all merchandise imported into China are subject to customs inspection. Dragon Link will arrange for entry and customs clearance on behalf of the participants.

  • ADVERTISING GIFTS/GIVE-AWAY ITEMS

Give-away items are dutiable. Taxes have to be paid as per Chinese Customs Rules and Regulations.

  • HAND-CARRIED EXHIBITS BY OVERSEAS EXHIBITOR

Exhibitors who hand-carry their exhibits to shanghai should pass through the “RED CHANNEL” at the airport customs and declare the exhibition goods. Please prepare a few sets of DECLARATION FORM FOR TEMPORARY IMPORT EXHIBITS for the hand-carried items.

The shanghai airport Customs may detain the hand-carried exhibits and will issue receipt to the exhibitors.Exhibitors should pass the receipt to our on-site office and we will arrange customs clearance and pick-up the hand-carried exhibits from the airport for delivery to exhibitor’s booth under bond. Those exhibits will only be released to exhibitors after checked by Customs on site. The charges for such service will be collected on the exhibition site.

For these hand-carried exhibits, exhibitors might have declared in their personal Customs declaration forms, but Customs at the exhibition do not allow for hand-carried return by exhibitors themselves. They must be handled by authorized forwarder for the exhibits to be returned overseas.

  • IMPORTANT NOTICE: DO NOT SEND ANY EXHIBITS BY COURIER

Exhibitors are advised not to send their exhibits through courier services as this may cause a delay in delivery of their exhibits to the booth.Exhibitors will pay for any duty occurred during this period.

    • QUARANTINE INSPECTION & FUMIGATION

The quarantine law of China stipulates that all packing materials in wood (wood cases or pallets) must be treated sanitary upon their arrival at China. In case insects or pests are found, fumigation will be carried out.

IPPC-NEW WOOD PACKING MATERIAL REGULATIONS WITH EFFECT FROM 1st JAN, 2006

With effect from 1st Jan., 2006 fumigation must be arranged in the country of origin before shipment to China for ALL WOOD PACKING MATERIAL (WPM). This includes wooden block cases/crates, wooden pallets, wooden frames, wooden drums, chocks & stow-wood, cross-ties and so on.

To ensure the WPM is properly treated either by Heat Treatment (HT) or Methyl Bromide (MB), the following information MUST be marked or stamped on the outside packing (as per the following sample).

  • IPPC Logo
  • ISO country code (XX)
  • Unique number assigned to the company (which carries out the fumigation procedure) by the national plant protection organization (000)
  • Fumigation method either HT -Heat Treatment or MB - Methyl Bromide (YY)
  • Please stamp "IPPC" logo on each visible side ( Minimum 4 sides ) of the package.

To support the treatment, exhibitors must also produce their own declaration on their company letterhead for customs clearance purposes. This must be attached the original master air waybill (for airfreight consignments) and enclosed along with the original bill of lading and couriered to our local office (for sea freight shipments).

WOOD PACKING MATERIALS WITHOUT ACCEPTABLE CERTIFICATES OR MARKINGS WILL BE DESTROYED OR REJECTED FOR COMPULSORY RE-EXPORT WITHOUT ENTRY INTO CHINA.

For cargo with non-wood packing materials, the cargo owner must provide a non-wood packing declaration, on company letter-head, signed with authorized signature and endorsed by company chop. The original declaration letter must be attached to the original Master Airway Bill or couriered to our local office in China for Customs clearance purposes

    • STORAGE OF EMPTY CASES

Empty packing case will be automatically removed, stored and returned to the booth at the close of the exhibition.

Every effort will be made to return empty cases to individual booth for packing at the close of exhibition, but priority will be assigned to exhibitors with hand-carried items.

    • RETURN OF EXHIBITS

The following documents will be distributed to exhibitors before closing.

  • A copy of the List of Exhibits previously submitted to customs;
  • Instruction Form for Exhibits Disposal

Exhibitors are requested to declare on their List of Exhibits form per following information.

  • Sold
  • To bonded warehouse
  • To be returned (port of destination/ mode of transport)
  • Consumed
  • Given away
  • Abandoned.

Violations of these regulations will result in confiscation and heavy fines imposed by the Chinese Customs.

Please do not leave the exhibition halls before handing over your packed cargo and instructions to our staff.Once these documents have been processed with Customs and the relevant transport departments, changes will not be accepted.The return of all exhibits will be arranged when Customs formalities have been finalized and exhibits handed over to Chinese carriers for re-export.BEWARE, the demand for transport facilities is great and exhibitors should not expect their cargo to physically depart from Chinese Ports within three weeks of closing.If an expedited export service is required this must be requested at least one month in advance and full instructions/revised documentation should be sent to us at the same time.

Please fill out and return the Instructions for Disposal of Exhibits together with the List of Exhibits to us at least 24 hour before closing.If exhibitors fail to give explicit instructions no Customs formalities can be carried out, and their exhibits will be left to Customs disposal, all charges being for the exhibitors’ account.

Please pay special attention to the following Regulations:

  • Declaration of the contents in each package must be correct;
  • Items other than those declared exhibits (e.g. personal effects, souvenirs bought in China) are absolutely not allowed to be returned together with exhibits.

REMARKS ON TARIFF

  • This tariff applies to all inbound & outbound cargo per consignee, per exhibitor.
  • In case of South Asia freight, CFS charge collected as per actual outlay. If shipment is made through a consolidator, any additional fees imposed by the consolidator will be billed at cost to exhibitors/ agents.
  • The volume/weight ratio for airfreight cargo will be calculated at 6:1 and charged based on whichever yields the greater.
  • Special cargo, dangerous cargo, foodstuffs, plants, frozen / chilled cargo will be subject to a 100% surcharge on above tariff.
  • Over-size/ heavy-lift surcharge will be levied for individual exhibit with dimension exceeding L3.0M x W2.2M x H2.2M and weight exceeding 2000kgs.
  • In the event of late arrivals, Dragon Link will make all reasonable efforts to ensure delivery before the show opens; however, no guarantee can be given.The surcharge will apply regardless of delivery date to the show site.
  • Exhibitors dispatched their cargo not via our office or our agents are advised that full payment must be received by us before the move in operation of the exhibition in China.
  • Cargo shipped on freight collect basis will be added 10% prepayment fee.
  • Empty container demurrage charges will be billed at cost.
Dragon Link will collect the exhibits abandoning to the custom and then deliver to the pointed site. The charges will be calculated as those for outbound.
